Overall role purpose:

Responsible for leading the provision of pastoral care by creating and managing programmes for the Heads of Year groups and the Senior Residential Leads, Clubs coordinators and Spiritual Lead to be delivered in the residences and classes, and overseeing the success of these programmes, and to lead the development, promotion and implementation of the Academy's Behaviour for Learning Policy


Key Responsibilities


Strategic direction and development

  • Manage the implementation of Student Life's strategic objectives and initiatives among the Heads of Years, Clubs’ Coordinators, and Spiritual Coordinator.
  • Support with the development and implementation of Student Life policies, procedures, processes and monitor compliance of the direct reports.
  • To keep up to date with legislation, guidance, rules and best practice within the student life aligned to Ministry of education/TSC guidelines.
  • To take part in school wide policy developments, reviews and implementation of the same to help embed the Academy Values and IB Learner profile to create a unique culture within the Academy.
  • To be a teaching member of Faculty.

Operational- Extracurricular and forms coordination programmes

  • Along with the Director of Student Life and IB Program coordinators, to help design and deliver the student orientation programmes for new students within the Academy. 
  • Monitor the implementation of extra-curricular student programmes and events over the weekends and during public holidays.
  • Along with the Director of Student Life and Heads of Year Groups, coordinate special events at the Academy where student participation is needed e.g., Anniversaries, new students welcoming parties, school assemblies, annual prize giving days, Talent shows etc. 
  • To lead the Heads of Year groups, club’s coordinator and spiritual Coordinators in developing and preparing the  budget to provide form tutors and students with pastoral resources in classes.
  • To sit on the Teaching & Learning Senior Management committee.
  • Responsible for the management of the display boards within the Academy. 

Operational- Student well-being

  • To prioritize safeguarding, welfare, health and safety of learners above all other duties and be familiar with statutory safeguarding and child protection needs and requirements as per the Academy’s policy and educational best practice. 
  • Under the guidance of The Director of Student Life, supervise the Heads of Year Groups in designing, monitoring and delivery of pastoral care curriculum in the residences and during form periods.
  • Liaise between student issues and counselling team to further develop programmes to help students in their overall experience as needs change.
  • The Chair of student Discipline Committee.
  • To liaise with other Faculty staff to regularly review the student code of conduct and to familiarize residential team and Faculty staff on the Behavior for Learning Policy to ensure its exercise within the boarding and academic life of students.
  • Provide support and guidance to the student Club Coordinator.
  • Under the guidance of Director of Student Life, the Heads of Year to regularly meet with Clinic Department and counsellors to monitor student issues and safeguarding concerns.
  • Organize, and through residential leads and tutor teams, implement a framework for daily tasks such as taking attendance in Ed-Admin and checking on absences.

Operational-Daily Routine.

  • Oversee the effective and efficient collaboration among the Form tutors.
  • To assist The Director of Student Life to collate and communicate the annual Student Life calendar in a timely manner in collaboration with Faculty department and communicate the same with students and the entire staff body
  • Offer guidance on emergency or crisis situations appropriately as they arise or escalated to the Director of Student Life for immediate attention.
  • In collaboration with other stakeholders administers Academy-wide co-curriculum events, including the forecasting, planning, developing, promoting, and evaluation of programs and services that are focused on providing a diverse student body with opportunities for personal growth and leadership development.
  • Contribute as a key player to the school’s management team in its planning, implementation, monitoring and review of strategic and operational plans, liaising with other managers as appropriate, taking the lead for taught programs.

Leadership and People Management

  • To act as a role model for direct reports and students by demonstrating high levels of professionalism and provide quality pastoral care and academic monitoring of students.
  • To lead and line manage a team of Heads of Year, and the Clubs and Societies Coordinator and Spiritual Coordinator and maintain regular formal and informal contact with the Director of Studies, tutors, counsellors, clinic staff and residential leads.
  • To ensure all members of staff understand and are actively implementing the key aspects of the school’s policies including those for behavior, code of conduct, safeguarding and duty.
  • Supervise the monitoring of student behavior, attendance and achievement using the school’s Behavior for Learning Information Management System (Ed- Admin) and, in consultation with key staff, decide on appropriate sanctions, interventions and rewards.
  • Provide professional development support and perform periodic performance appraisals for direct reports based on Academy’s Performance Management System.
  • Coach and mentor subordinates on a regular basis.
  • Contribute in an effective and efficient manner to the development of Pastoral Care.
  • Any other added task in line as assigned by the Director of Student Life. 

Education and Experience

  • Bachelor’s degree in Education or equivalent,
  • Master degree in Education is an added advantage
  • At least 5 years in a similar role at a reputable institution.
  • Teaching experience in an international school will be added advantage.
  • MUST be TSC Registered

Key Performance Indicators

  • Performance will be measured against The Teachers’ Standards, objectives and student outcomes in relation to targets set.
  • Evidence of extent to which the Academy Values and IB Learner Profiles are embedded in the personality and character of the students in the Academy.
  • Ability to Improvise and use locally available resources for effective teaching and learning outcomes by integrating technology in teaching and learning process.

Financial Responsibility

  • Manage the entire Pastoral Care budget.
